Overcoming problems and optimizing processes and results is the daily life of those who work in the textile industry, whether in an operational or managerial position. The most basic and common problems are usually recurring and can easily be avoided and corrected. Your company does not need to be ISO 9001, 14001 OR 22000 certified (among others) to use the Record of Non-Conformities (RNC) feature in Quality Management.

Non-conformity is any fact that does not conform to what was expected. Examples: a defective product, a late delivery, a service performed incorrectly, among other non-conformities that occur in the textile industry.

RNC records deviations occurring in the production of processes, products or services and is a basic tool for indicating your company’s weaknesses and strengths. It works like a checklist, a checklist defined by managers.

 

1 – Register all Non-Conformities – RNC

It is very important for companies to understand what is happening, especially when it is not happening correctly. Then open as many non-conformities (RNC) as necessary, thus showing maturity of the management system. Create a culture in your company of not seeing the RNC as a threat but as an ally, seeing the person responsible for generating non-compliance as an employee who needs reinforcement in training or even more collaboration in their service, and never as someone incompetent so as not to generate a culture of fear of the RNC.

2 – Immediate Actions: Obtaining Expected Results

Another mistake is leaving the corrective action for non-conformity until later. Immediate action must be taken to analyze the cause and take appropriate corrective and preventive actions. If many RNCs are being registered for the same operation, there is a strong indication that some process is not being carried out correctly and corrective and preventive actions are essential for everything to return to normal.

3 – Objectivity and Clarity in the RCN Report

The description must be clear, objective and with as much evidence as possible. When carrying out the cause analysis, exhaust all reasons until you reach the root cause of the problem. Involve employees with different expertise to identify and find ways to solve the root of the problem.

Having a clear validation process for each stage of what was raised in the RNC report is an important step to optimize the effectiveness of the actions carried out.

 

4 – Meet Established Deadlines

Establish an action plan with person responsible and deadline for carrying out immediate action and another for corrective/preventive action. The actions resulting from an RNC must be managed, set achievable deadlines and, in case of non-compliance, record the reason for the postponement.

5 – Monitor whether the Corrective Action was really effective

A record of non-compliance should only be closed when the effectiveness of its corrective/preventive action has been proven. Evaluate over a period of time whether there have been recurrences and close the RNC if you are certain that the actions taken were effective.

By following these tips for effectively dealing with non-conformities in your company, your efficiency rates will certainly increase significantly and your employees will feel more involved and heard regarding their practical suggestions for improvements and productivity, encouraging collaborative initiative and cooperation between the sectors.
